HOW-TO: Legacy Clickup Recurring Tasks

What are legacy ClickUp Recurring tasks and why use it?

A legacy task is a recurring task that’s been fine-tuned to fit your workflow specifications. 

Legacy used to be the standard flow for ClickUp recurring tasks, but because it has a lot of extra features, it has since been separated to make recurring tasks simpler for those who don’t need that level of automation.

How to Use legacy ClickUp Recurring Tasks Like a Pro

  1. Set up tasks and due dates the same way you would a normal recurring task. Click on the three dots () and choose Use legacy recurring. Just a reminder, the Legacy option is a ClickUp premium user feature, so it has more room for customization vs a non-premium account.

  2. Recurring tasks in legacy can be set up to Repeat (choose the day/s) after task is (task status)change due date to (next occurrence) and status to (to do). Starts on (day you want it to start).

  3.  You can set up your legacy tasks to Repeat schedule and Repeat trigger.

    Repeat schedule – schedule dependent. Will create tasks based on the schedule (date/time) conditions you set. (Ex. if task is set to recur on a monthly basis, it will automatically create the monthly tasks regardless if it was completed or not)

    Repeat trigger – action/status dependent. Will only create tasks once the preset action has been fulfilled. (Ex. tasks only get created if marked as completed)

    NOTE: I highly recommend you use Repeat schedule since it will be one less thing for you to worry about and it gets things done automatically.

  4. Always bear in mind how often tasks occur before creating one in ClickUp. You can set tasks to recur on a daily basis, per day basis, per date basis, weekly, monthly, yearly – plan ahead and mark your tasks to recur with the correct schedule in mind.

  5. Pay attention to the advanced options since it can help you customize the task schedule requirements even further.

  6. You can choose an action in Advanced options  to create your legacy tasks to recreate the original task, which includes all the notes, comments, and what not; or create a new task. Additionally, you can mark which details from the original task you want to carry over to the new task (e.g. description, subtasks, tags, attachments, etc.)

  7. Now, if you find yourself updating the task on a regular basis, you can also choose to have the new task to copy the recently completed one VS the original one that might have been created before the task updates you made.

    NOTE: I personally prefer using the last task to make sure that the workflow the task is being copied from is the most updated. 

  8. If you’re getting confused with the fields, you can just click on the guide and it will take you to the correct field you want to change.
