Do you find yourself overwhelmed by tasks piling up in ClickUp, wondering if there’s a way to truly streamline your workflow and become more productive in ClickUp? You’re not alone! While ClickUp is a powerful tool, it can sometimes feel chaotic without the right strategies in place.
But here’s the good news—ClickUp has an array of customization options that can help you take control and make your workspace work for you. With the right tweaks and tricks, you can transform ClickUp from a cluttered to-do list into a highly efficient productivity machine, allowing you to stay productive in ClickUp.
I’m going to guide you through five ClickUp customization hacks that are easy to implement yet profoundly effective. Whether you’re looking to reduce distractions, focus on your own tasks, or set up an optimized workflow, these tips are designed to help you reach your full productivity potential in ClickUp.
Customize ClickUp Notifications to Focus
The first step to being more productive in ClickUp is managing notifications. ClickUp notification settings allow for high customization so that you’re only alerted about the most essential updates.
Reduce distractions by setting up ClickUp notifications for only what truly matters. Go to your profile, navigate to the notification settings, and clear out the clutter. Set email notifications to provide a single daily summary of due dates, rather than individual alerts. This adjustment keeps your inbox clear, allowing you to stay focused and productive in ClickUp.
Be more productive with “Me Mode” in ClickUp
Me Mode is a standout ClickUp feature that hides tasks that aren’t yours, allowing you to zero in on what you need to accomplish.
To enable Me Mode, either click the “Me Mode” button at the top of any list or view, or set it as a default under layout options with Default Me Mode. This ensures the list defaults to showing only your tasks. The result is a focused workspace that helps you be more productive in ClickUp, without distraction from others’ assignments.
Use Custom Views for Targeted Productivity in ClickUp
Custom views in ClickUp are powerful tools for improving productivity, whether through team-based or process-based configurations. They help tailor the workspace for specific needs, keeping things organized and efficient.
Set Up Team-Based Custom Views in ClickUp
For individualized productivity, create custom views and set them as private for each team member. This way, everyone sees only what’s relevant to their work, keeping the ClickUp workspace uncluttered and enhancing productivity.
Set Up Process-Based Custom Views in ClickUp
Process-based views are ideal for workflows like YouTube or podcast management, allowing specific views for each stage of the process. For instance, clients can create custom views for proofing videos and another for social media posts, letting them batch similar tasks for maximum productivity. This setup keeps them focused on one task type, making it easier to stay productive in ClickUp.
Optimize ClickUp Workflow
Task dependencies and ClickUp automations can take your productivity to the next level, creating smooth workflows with minimal manual effort.
Task dependencies ensure tasks follow a logical flow, particularly for complex projects with multiple phases. This setup keeps work moving efficiently and allows you to be more productive in ClickUp by reducing bottlenecks.
ClickUp’s automation feature is invaluable for streamlining work. Set up automations to move tasks to different statuses, assign due dates, or notify the right team members only when needed. Automations keep everything on track and make it easier to stay productive in ClickUp.
Continuously Improve with Usability Feedback
Maximize ClickUp’s effectiveness by regularly seeking feedback on workflows. Whether working solo or managing a team, understanding specific pain points helps you refine views and processes for optimal productivity.
Continuously assess what’s working and what isn’t to make the best customizations. This approach ensures your ClickUp setup remains aligned with productivity needs, allowing you to streamline workflows and stay focused on priorities.

Are you so over feeling buried under all those tasks piling up in ClickUp? Wishing you could finally streamline your workflow and get more done without the constant chaos that seems to be happening in your ClickUp? Well, you’re in the right place. Today I got my five most favorite ClickUp customization hacks that will completely transform how you work and help you boost your productivity like never before. If we haven’t met, I am Yvonne Heimann, AKA Yvi from Ask Yvi where I help business owners and digital digital entrepreneurs implement simple systems so they can turn their passion into profit. Number one. First up, and that is one of the most important ones. Notifications, ClickUp lets you customize and personalize your notification settings. No more dinging everywhere and getting all kinds of crazy notifications everywhere. Because here’s the deal. ClickUp is your single source of truth.
Yvonne Heimann [00:00:57]:
You should be working out of ClickUp. You don’t need thousand notifications on your cell phone and thousand notifications on your browser and not even to forget about the hundreds and thousands of email notifications. So simply head on over to your profile into your notification settings and clean them up. I do have a specific video for this too, and here’s a pro tip for you. Instead of those constant pings in your email and another email and another email simply because you got tagged somewhere, change your email settings to one single email for your daily due date summary. That’s all you need as a ClickUp notification in your email. Nothing else is needed. The other one that is a productivity superpower in ClickUp.
Yvonne Heimann [00:01:43]:
Did I mention me mode? It strips away everything that is not your task. There’s two ways of setting me mode you always have the Me mode button on top of everything wherever you want it. Or you can go into your customized view, which you also can find up here and go into your layout options and say Default Me mode. Default Me mode means this specific list is defaulting to Me mode rather than everything if you use the button up here. So with that you can hit that Me mode button, blend out everybody else’s tasks and really just be more productive by focusing on your tasks and not what everybody else needs to do. If you’ve been around, you know that I love custom views. I really do like custom views in ClickUp. Having said that, there’s multiple ways to approach custom views in ClickUp.
Yvonne Heimann [00:02:40]:
One is a team based custom view and the other one is a process based custom view. Talk about team based views. Sometimes you want to have a custom view in ClickUp for just one team member only. They want to see certain things and nobody else needs to have it to be more productive in ClickUp and not have all of these 10,000 different views in ClickUp, you easily can go in and actually set that as a private view. So each of your team member can have some team based custom views within ClickUp and simply set them to private so that only they can see it and be more productive without flooding everybody else with custom views. Now the other custom views are process based and as you know I have been working on our YouTube processes and our podcast processes like there is no tomorrow. So let me dive into a client’s view here. Stir Institute, my coach, my client.
Yvonne Heimann [00:03:42]:
Love him to pieces. There’s a couple different things going on here. One is needing to proof video so we have a view specifically for tasks and shorts that need to be proofed. It is a specific point in time of the process. So when Matthew goes in here and really wants to be more productive, he just goes for proofing video. Awesome. Once proofing video is done, we proof social media because the team has written his social media post copy and now he can switch processes from proofing video to proofing social media and really stay productive because his brain is staying in these different types of works and really can batch his work and therefore stay more productive in here. So what I often do with clients is ask them specifically what is the purpose? What are you trying to accomplish? Where do you feel like you are not being efficient right now? What is that use case? And that usually gives me the information on how I can build these specific views to help them be more productive in their process.
Yvonne Heimann [00:04:59]:
