Doesn’t even matter if it is a new team member or if you set up a new workspace. It happens every single time. We hit the ground running. We get everything ready, we get the team training ready, all the things, and suddenly their email inbox just goes ding, ding, ding. Today we’re gonna take care of that notification chaos, make it nice and simple, and give you the resources to make your team more efficient along the way. And hey, if you haven’t met me yet, I am Yvonne Heimann, aka Yvi from AskYvi.com where I help business owners and digital entrepreneurs build simple systems so they can turn their passion into profit. Stick around, because by the end of this video, your notifications will be working for you rather than against you. First off, let’s find our notification settings which are really simple.

Find your profile icon on the top right and there is your ClickUp notification settings. You don’t even have to go anywhere else. Really simple right in the main menu. And the first thing I want you to do, especially because you might be the owner of the workspace or the chief operating officer of your business, assigning things and building things out in ClickUp, I want you to assure that the auto watch tasks I’m involved in is turned off. Let me explain why. If you are the one running the processes in ClickUp, you are generating tasks here and assigning there and all the things and you always should have an assignee and a due date. You don’t need to watch it, you just assigned it to somebody else. You don’t need to watch it.

You will automatically be added as a watcher within the ClickUp task. If you get @ mentioned or assigned. There is no need for you to be auto watching all of the tasks because you’re not helping yourself. You are outsourcing and handing responsibilities off. You don’t do that when you are watching on all of these tasks. Now that my first rant is done, second one, we are going straight into our email settings and what I want you to do is think of your email not as your to do list. Your email should never be the to do list. ClickUp is your to do list.
Yvonne Heimann [00:02:33]:
It’s a task management, not your email. With that in mind, all we do is you literally turn all of these off. All of them. The only email you need is daily due date summary. My assigned task at the time you choose that will send you a nice summary task at the beginning of the day of what is past due, what is due and what is coming due. What this setting does is you get an email like this what is due today, what is due tomorrow and what is over due. And yes, you can sort those out. I have all kinds of stuff in here from templates too, so let’s ignore the overdue. For you,

This means you have a quick and easy overview and list to know what needs to get done today. Nice and easy. That is the only email you should be doing. Let’s dive into the secondary notifications that I near dear to my heart, your phone. We are all mobile. We are all running around. The ClickUp app has gotten an amazing update, which means we want to be sure to handle that accordingly and not get overwhelmed again. I like my custom notifications in here and how I approach mobile.

You can adjust this a little bit. Mobile for me is my communication management, meaning if somebody tags me somewhere, I want to know about it. That’s what’s happening on my phone. I handle my ClickUp notifications on my phone as if it is a chat app, which means task comments are turned on when something gets assigned to me or when I’m @ mentioned. Chat comments when conversation is going on. I get dinged about that. The same with document comments when something is assigned to me or when I am @ mentioned as well as home to also get my reminders when they’re coming in. And that way you ensure you don’t miss when somebody is communicating with you in ClickUp and you don’t get all the things.

Because when you are really productive in ClickUp and this is your single source of truth, you should be working out of your everything space and your calendar space. We do have another video on that one. I will not go deeper into this today. Now let’s look at the other one. I always have my browser notifications off. There’s already so much going on. Browser notification is up to you. I don’t like a lot of browser notifications.

I already get enough dings. I go into ClickUp for my single source of truth for knowing what I need to do today. So let’s take a look at the inbox. Some of these here are required for your inbox to work properly. With that. Yes. Task comments there isn’t much you can turn off. You can turn off reaction and resolve comments. I like to see them actually.

Same with task activity. There’s a lot that you can turn off. However, there is a lot you if you haven’t yet can turn on dependencies. I don’t need to know them because again I am working out of my everything view. When that comes due I am getting notified either way. We do have the chat comments in here. Actually the @ mention I want to have in my inbox too as well as replies following document comments same as well as start and due date. So what happens here? Those are your inbox.

So that’s how you decide what you see in here, what you get or what you don’t get. You also can find your notification settings right in here in your inbox. If you see things in your inbox that you do not want to see there. Now if you work in a big agency, some of my clients do use slack to also transfer over certain notifications into slack to keep it top of mind and tip of tongue. I personally in our company don’t like it because again you are supposed to be working in ClickUp. ClickUp is your single source of truth. This is where you start your day and with that we don’t need notification and reminders everywhere and all over the place. You are supposed to be within ClickUp working so you will see all the things that are assigned to you and have a due date.

Did did you get the side note here? Yes. Everything should always have a due date and an assignee. You can turn on smart notification that delays notification rather than when you are implementing things and it’s like ding ding ding ding ding ding ding. You can delay those. And then we already talked about auto watch. Do not. Do not auto watch. And with that, let’s talk about a couple of tips to really efficiently manage your notification and be productive right here in ClickUp.

You should be in your ClickUp tasks every single day, planning your week. If you are proactive, notifications won’t control you. You control them. You will not even need a lot of those notifications because you are in ClickUp. You are doing the thing where you are supposed to be doing it. Use ClickUp dashboards to keep an eye on the bigger picture instead of again relying on notifications. ClickUp dashboards really gives you a visual overview without interrupting everything, and you can set it up for specific use cases that you need in your everyday work mode. Be mindful about which ClickUp notifications actually help you.

Seriously sit down and reflect on which ones serve you and which ClickUp notifications are just noise. Customizing your ClickUp notifications is such an easy way to boost your productivity.
